Post paid invoices to Slack with Zapier

Build a Zap that posts a Slack message every time an invoice is marked paid in CleanOps.

This Zap posts a Slack message to your team every time an invoice is marked paid in CleanOps — a simple way to celebrate payments and keep everyone in the loop without anyone having to watch CleanOps.

Before you start: connect CleanOps to Zapier first (see connect CleanOps to Zapier) and have a Slack workspace you can sign in to.

  1. Before you start

    You need two things: CleanOps connected to Zapier — set up once in connect CleanOps to Zapier — and a Slack account you can authorize. This guide builds the Zap from scratch and reuses your CleanOps connection.

    Create a Zap and choose the Invoice Paid trigger

    In Zapier, create a new Zap. For the trigger, choose CleanOps as the app and Invoice Paid as the event, then pick your connected CleanOps account under Account. Select Continue.

    Test the trigger

    Select Test trigger. Zapier pulls your most recent paid invoices from CleanOps so you have real data to build with — pick one and select Continue with selected record. No paid invoices yet? Mark one paid in CleanOps first, then test again.

    Add a Slack action

    For the action step, choose Slack as the app.

    Choose Send Channel Message and connect Slack

    Pick the Send Channel Message action event, then select Sign in to connect your Slack account and Allow Zapier access. Connecting a new app works just like connecting CleanOps — see connect CleanOps to Zapier.

    Choose a channel and write the message

    Open the Channel dropdown and pick where the message should post (for example #new-channel). Then click into Message Text and type the message you want — for example 💰 Invoice paid in CleanOps:.

    Insert CleanOps invoice fields

    To include live invoice details, use Insert Data (the + on the field) to open the data picker, then select CleanOps fields to drop them into the message — the invoice Number, Customer Full Name, Customer Company Name, City, State, and more are all available. Mix plain text and fields however you like, then select Continue.

    Test the action

    Select Test step. Zapier sends a real message to your Slack channel using the sample invoice — you’ll see A Message was sent to Slack.

    Turn the Zap on

    Select Publish. Zapier confirms Your Zap is live! — from now on, every paid invoice in CleanOps posts to your Slack channel automatically.

  10. Your Zap is running

    Each time an invoice is paid in CleanOps, a message posts to your Slack channel with the invoice details you mapped, sent by the Zapier app. You can edit the Zap any time to change the channel or the message.

  11. Variations
    • Different message app: swap Slack for Microsoft Teams, Discord, email, or SMS — the CleanOps trigger and field mapping stay the same.
    • Different CleanOps trigger: the same shape works for New Invoice or Invoice Sent, and for quote and job events too.
