Put new jobs on a calendar with Zapier

Build a Zap that creates a Google Calendar event every time a new job is scheduled in CleanOps.

This Zap adds an event to Google Calendar every time a new job is created in CleanOps, so a scheduled job shows up on your calendar automatically — no double entry.

Before you start: connect CleanOps to Zapier first (see connect CleanOps to Zapier) and have a Google Calendar account. This Zap uses the job’s scheduled times, so it works with jobs that have a scheduled date.

  1. Before you start

    You need CleanOps connected to Zapier (connect CleanOps to Zapier) and a Google account for Calendar. Because a calendar event needs a start and end time, this Zap works with scheduled jobs.

    Create a Zap and choose the New Job trigger

    In Zapier, create a new Zap. For the trigger, choose CleanOps as the app and New Job as the event, pick your connected CleanOps account, and select Continue.

    Test the trigger

    Select Test trigger. Zapier pulls your most recent jobs from CleanOps — choose one that has a scheduled date and select Continue with selected record (that record’s dates are what you’ll map next).

    Add a Google Calendar action

    For the action step, choose Google Calendar as the app.

    Choose Create Detailed Event and connect Google

    Pick the Create Detailed Event action event, then select Sign in to connect your Google account. When Google asks, grant Calendar access (tick the permission boxes) so Zapier can add events. Connecting an app works like connecting CleanOps.

    Pick your calendar

    Choose the Calendar the event should land on (for example your primary calendar). The event fields — Summary, Description, Location, Start Date & Time, End Date & Time, and more — appear below.

    Map the job's details and times

    Fill the event from the job’s fields using Insert Data: put the Customer Full Name (or the job Number) in Summary. For the times, this is the important part — map the job’s Scheduled Start Time into Start Date & Time and Scheduled End Time into End Date & Time. Use the Search box in the data picker to find those two fields (don’t use Scheduled Dates — it’s a separate list field). Add Location or Description if you like, then select Continue.

    Test the action

    Select Test step. Zapier creates a real event on your calendar from the sample job — you’ll see A Event was sent to Google Calendar.

    Turn the Zap on

    Select Publish. Zapier turns the Zap on — from now on, every new scheduled job in CleanOps creates a calendar event automatically.

  10. New jobs now appear on your calendar

    Each time a job is scheduled in CleanOps, an event appears on your Google Calendar at the job’s scheduled time, titled with the customer’s name. Open your calendar to see it.

  11. Variations
    • Different calendar app: swap Google Calendar for Outlook Calendar — the CleanOps trigger and field mapping stay the same.
    • Different CleanOps trigger: use Job Assigned or Job Rescheduled to keep the calendar in sync as jobs change.
    • Richer events: map the job address into Location and the Notes into Description.
