Schedule a job

Put a job on the calendar from the Job Schedule, assign a technician, set up a repeating series, and manage the schedule with views and filters.

The Job Schedule is your calendar: every job lands on it, color-coded by status, and new work starts here. This guide covers creating a job from the calendar, assigning a technician, rescheduling, repeating a job on a schedule (daily, weekly, monthly, or custom), and keeping the view manageable with filters.

Before you start: sign in with an account that can manage jobs (an operator/employer account), and have a customer to schedule for — see create a customer.

  1. Open the Job Schedule

    Select Job Schedule in the left navigation. The calendar opens with the month and year up top beside Previous and Next arrows and a Today button, the Day / Week / Month view switcher on the right, and the Technician, Surface type, and Status filters above the grid. The Day and Week views run from 6 AM to 10 PM with a dark line marking the current time, weeks start on Monday, and the legend below the calendar maps chip colors to statuses: Scheduled, Completed, In Progress, and Cancelled.

    Start a new job

    Select New Job in the top right — or just click an empty slot on the calendar, and the form opens with that date and time already filled in. Then open the Customer dropdown and pick who the work is for; start typing to filter the list, or select Create new customer to add one without leaving the form (see create a customer).

    Set the date, time, and location

    Confirm the Start Date & Time and enter a Duration — type 2 for two hours or 1h30m for ninety minutes. Picking the customer fills their primary address in under Location with Existing Address selected; use Select Address to choose a different saved address, or pick New Address to type a one-off address. The Quote dropdown links the job to one of the customer’s quotes — it’s disabled and reads No quotes for customer when they have none.

    Add services and assign a technician

    Under Service Details, build a service row: pick a Surface, add an optional Description, choose a Unit (Sq. Ft., Linear Ft., Hourly, or Fixed Price), enter the required Quantity — square-footage rows include a Draw area on map button (see draw a service area) — and set the Complexity (LOW, MEDIUM, or HIGH). + Add Surface adds another row; there are no prices here, because pricing lives on the quote and the invoice. Under Technician, pick Assigned To, set the Hourly rate, and tick Add to Expenses to count their paid time against the job — + Add Technician assigns more than one person. Notes holds anything the crew should know.

    Save and schedule it

    Select Save & Schedule. A green Job created successfully message appears and the job lands on the calendar at the time you chose, as a chip showing its start time and job number.

  6. Preview any job from the calendar

    Click a job’s chip to open the preview pane. It shows the job number and customer, the status badge, the SCHEDULED DATES with time and duration, the address, the service badges, and the job’s Recurrence (No recurrence for a one-off). Edit opens the job form, Full Details opens the full job page (see manage a job), and Cancel… cancels the job after a confirmation.

    Reschedule or reassign

    There’s no drag-and-drop on the calendar — moving a job goes through the form. Select Edit in the preview pane to open the Edit Job form, prefilled. Change the Start Date & Time to move the job, or switch Assigned To to hand it to a different technician.

    Save the change

    Select Save & Schedule. A green Job updated successfully message appears and the chip moves to its new time on the calendar.

    Switch calendar views

    Day shows a single day’s timeline, Week a full week, and Month the whole month. Today jumps back to the current date, and the Previous and Next arrows step one day, week, or month at a time. Flip the Default view switch while you’re in a view to make it the one the schedule always opens in.

    Make a job repeat

    In the job form, switch on Enable repeat under Recurrence. The rule starts as Daily with every day of the week ticked under Repeat On — leave them all selected for true daily, or unselect days to repeat only on the chosen weekdays.

    Choose Weekly and an end condition

    Weekly repeats every week on the start date’s weekday. Set the End ConditionNever ends, Ends after a number of occurrences, or Ends on a date — and optionally tick Skip public holidays to skip occurrences that land on a public holiday. Start Date sets when the pattern begins.

    Or build a custom rule

    Custom repeats every N days or weeks: set the number under Repeat Every and pick Days or Weeks. With Weeks selected, Repeat On appears so you can choose the weekdays. The fourth option, Monthly, repeats the job each month on the same weekday — for example, the third Monday of every month.

    Save the series

    Select Save & Schedule. CleanOps generates every occurrence up front — here, a weekly rule ending after 6 occurrences put a job on six consecutive Mondays. Each occurrence is a real job: it shows on the calendar and in Job History, and can be worked like any other job.

  14. Review a recurring job

    Click any occurrence. The preview pane now spells out the rule — Recurrence, Repeat Every, Repeat On, Start Date, End Condition, and Exclude holidays — and a red Delete Series button joins the actions.

    Cancel one occurrence or the whole series

    Select Cancel… on an occurrence. The Cancel job or entire series? dialog asks whether to cancel just this occurrence or all future occurrences: Cancel This Job cancels only the one you opened — the rest of the series stays scheduled — while Cancel Series cancels them all. Back closes without changes. To remove a series outright, use Delete Series instead; it permanently deletes every job in the series. On a one-off job, Cancel… opens the same dialog with just Back and Cancel This Job.

    Filter by technician

    Open the Technician filter, tick one or more technicians — or All Technicians — and select Apply. Multiple selections are allowed.

  17. Read the filtered calendar

    Only the selected technicians’ jobs remain on the calendar — everyone else’s drop away. Reopen the filter and select Clear to reset it.

  18. Filter by status or surface

    The other two filters work the same way, with their own Clear and Apply: Status narrows the calendar to Scheduled, In Progress, Completed, or Canceled jobs, and Surface type narrows it to the surfaces you service.

    Mode: one job on several dates

    Instead of a repeating rule, + Add Date under Multiple Dates schedules the same job on extra discrete dates, each with its own time and duration — Remove deletes a row. A job with multiple dates can’t also repeat; as the form notes, recurrence will be disabled. And a job always needs a customer — leave Customer empty and the form shows can’t be blank.

    Mode: scheduling in the past

    Pick a start time that’s already passed and CleanOps checks before saving. The Schedule Time in the Past dialog warns that this is unusual: Cancel & Review goes back to the form, Yes, Schedule Anyway saves it, and ticking Suppress all notifications for this job keeps a bookkeeping-only job from sending any notifications to the customer or technicians.

  21. Mode: from an approved quote

    Jobs can also start from a quote: select Create Job on an approved quote and the scheduler opens with the New Job form prefilled from it — the customer, the linked Quote, the address, and every service line. The walkthrough is in send and convert a quote.

  22. More modes and notes
    • Busy days in Month view: a day shows its first job and a count; select the N jobs total link to open that day in Day view.
    • Expenses on the form: the Expenses section (never visible to the customer) takes quick Expense Type and Amount entries via Add Expenses, or Add Detailed Expense for the full form — see log an expense.
    • New surface type: pick + Create New Surface Type in the Surface dropdown to add one without leaving the form; the catalog itself lives in Settings > Service Catalog.
    • One-off address: New Address asks for the street address, city, state, and ZIP for this job only.

  23. Result

    Your work is on the calendar: one-off jobs at the right time with the right technician, repeating work generated as a series you can cancel or delete in one step, and a schedule you can read at a glance with views, filters, and status colors.
