Create a quote

Build a priced quote for a customer with one or more service line items, discounts, and tax.

A quote is a priced estimate you build for a customer before the work starts. Add the services you’ll perform, set how each one is priced, apply any discount or tax, and save it — then you can send it, get the customer’s approval, and turn it into a job.

Before you start: sign in with an account that can manage quotes (an operator/employer account), and have a customer to quote for. You can also create the customer right inside the quote form (see Step 2).

    Open the New Quote form

    Select Quotes in the left navigation, then select + New Quote in the top right. The + New Quote form opens with sections for the customer, job address, service pricing, and totals.

    Choose the customer

    Open the Customer dropdown and pick the customer you’re quoting. Start typing to filter the list. Don’t have them yet? Select Create new customer at the top of the list to add one without leaving the quote.

    Set the job address

    Once you pick a customer, their primary address fills in under Job Address with Existing Address selected. Use the Select Address dropdown to choose a different saved address, or select New Address to type a one-off address for this job.

    Add a priced service line

    Under Service Pricing (with Manual Entry selected), build your first line: pick a Surface, add an optional Description, choose a Unit, enter the Quantity, set the Complexity, and enter the price. With Sq. Ft. selected the price field reads Price per Sq. Ft., and the line’s amount updates the Subtotal as you type.

    Add more services and pricing types

    Select + Add Surface to add another line. Each line can use a different UnitSq. Ft., Linear Ft., Hourly, or Fixed Price — and the price field renames itself to match (for Fixed Price it becomes Flat Rate). The total is always price × Quantity, so for a one-off flat charge set the Quantity to 1. Select Remove to delete a line.

    Apply a discount and tax

    Under Service Totals, add an optional Discount as a dollar amount ($) or a percentage (%), and a Taxes percentage. The Total Quote Amount recalculates instantly — for example, $375.00 less a 10% discount plus 8.875% tax is $367.45.

    Add a note and legal agreements

    Add an optional Note to Customer that appears on the quote. Under Legal Agreements you can Include Liability Waiver or Include Disclaimers, and tick Offer 3% cash/check discount to pass the card-processing savings on to customers who don’t pay by card.

    Save the quote

    Select Save Quote. A green Quote created successfully message appears and CleanOps opens the new quote’s page.

  9. Result

    Your quote is created as a Draft with its own number (for example, Q-0003), the customer and job address, every service line, and the Subtotal, Tax, Discount, and Total Quote Amount. From here you can preview it, send it to the customer, and later convert it into a job — see send and convert a quote.

    Option: Use a package instead of manual pricing

    Instead of building lines by hand, switch the Service Pricing toggle to Use Package and select Select Package to apply a predefined maintenance package’s services, pricing, and billing defaults. If you haven’t built any yet, the picker shows No packages available with a link to Package Settings. See maintenance plans for packages.

    Option: Create a customer without leaving the quote

    Choosing Create new customer in Step 2 opens the Add New Customer form right over the quote. Fill in the customer’s details and addresses and select Save Customer, and you return to the quote with the new customer selected. This is the same form covered in create a customer.

    Option: Enter a one-off job address

    Select New Address under Job Address to quote a location that isn’t saved on the customer. Fill in the required Street Address, City, State / Province / Region, and Postal / ZIP Code for this quote only.

  13. More modes and options
    • Area from the map: for a Sq. Ft. line, select the map icon beside Quantity to draw the property and auto-calculate the area instead of typing it — see draw a service area.
    • New surface type: pick + Create New Surface Type in the Surface dropdown to add one without leaving the quote. Complexity offers LOW, MEDIUM, and HIGH.
    • From a service request: when you start a quote from a service request, the Service Request (Optional) field links it and prefills details — see handle a service request.
    • Quote status: a new quote starts as Draft. Sending and approval move it through pending, approved, declined, archived, and expired — those transitions are covered in send and convert a quote.
