Set up and share your referral codes

Create referral codes, share them by link or email, and track every business that signs up with one.

referrals referral codes invites sharing settings

Referral codes let you invite other business owners to CleanOps. Share a code or its link from your phone, and every business that signs up with it appears on your Referrals screen. The business you refer gets free time after their first paid month, and each one earns you a reward.

Before you start: sign in to the CleanOps app as the account owner, or as a team member whose role includes managing referrals. Referrals are available on every plan.

  • 1

    Open Referrals

Tap the menu icon at the top left, then Settings. Under SUBSCRIPTION, tap Referrals. The screen opens on the Codes tab, with a card for each code you’ve created. The Referrals tab lists the businesses that have signed up — once someone has, the number beside it is your total — and Rewards shows what you’ve earned.

Beside the Referrals title are the filter icon and a blue + for a new code. Once you have an active code, an envelope for Invite by email sits between them.

The Referrals screen, open on the Codes tab.

  • Who can use referrals
    • The account owner, and team members whose role includes managing referrals, can create codes, send invites, and edit, archive or delete codes.
    • View-only team members can open the screen, see every code and referral, and copy or share codes and links. The envelope, the +, Edit, Archive code and Delete code don’t appear for them.
    • Technicians don’t have Referrals in their Settings.

Codes belong to your business rather than to the person who created them, so everyone on the team works with the same codes.

  • 2

    Create a code

Tap the blue + beside the Referrals title. In New Referral Code, fill in:

    • Label (optional) — a name only you see, such as the event or campaign you’ll use the code for.
    • Code — an 8-character code is filled in for you. Tap the refresh icon beside it for a different one, or type your own.
    • Redemption limit — how many businesses can sign up with the code. It starts at the maximum CleanOps allows; lower it for a smaller cap.
    • Expiry date (optional) — tap it to pick the last day the code works. Leave it blank for a code that never expires; Clear removes a date you’ve picked.

Tap Create Code. A Referral code created. message confirms it, and the new code appears at the top of the list. Cancel, the ✕, or your phone’s Back button closes the form without saving.

  • Code rules, and fixing errors when you save

CleanOps checks the form when you tap Create Code, not while you type. If something needs fixing, a message appears under the field and nothing is saved:

    • Label (optional) can be up to 100 characters; the field stops there.
    • Code must be 8 letters or digits, without 0, O, 1, I or L. Each code can exist only once — if yours is taken, you’ll see has already been taken.
    • Redemption limit must be a whole number from 1 up to the maximum shown under the field. The field takes digits only.
    • Expiry date (optional) can’t be in the past — the date picker greys out earlier days.

When you create a code, leave Code blank and CleanOps generates one, or leave Redemption limit blank to get the maximum. Letters you type are saved in capitals.

A message appears under each field that needs fixing after you tap Create Code.

Copy or share your code and link

Tap a code’s card to open it. On the Share tab:

    • Copy code copies the code itself.
    • Copy beside Referral link copies a link that opens CleanOps signup with your code already filled in.
    • Share link… opens your phone’s share sheet with a ready-made message that includes your code and link, so you can send it by text, email or any other app.

A Copied message confirms each copy; tap OK to close it.

In a hurry? Copy link and Share on each card in the Codes list do the same without opening the code.

    Invite a business by email

Tap the envelope icon at the top of the Referrals screen, or Invite by email on a code’s Share tab. From the top of the screen, choose which Code to send when you have more than one active code. Enter the owner’s Email address, add a short note under Note (optional) if you like (up to 280 characters), and check the preview under THEY’LL RECEIVE. Tap Send invite. An Invite sent to… message confirms it.

Invite by email, with the code and link the recipient will get.

  • What the invite contains, and its limits

CleanOps sends the email for you. It names your business, includes your note, shows your referral code, and has a Get started button that opens signup with the code filled in. It also carries CleanOps’ postal address, the web address of the program terms, and an unsubscribe link.

    • Links in your note are removed before the email is sent, so keep the note to plain words.
    • An address that isn’t complete shows Enter a valid email address. when you tap Send invite.
    • Each email address can be invited once. Inviting it again shows That address was already invited.
    • Your business can send 10 invites a day, shared across your team. After that you’ll see You’ve sent today’s 10 invites. Try again tomorrow.
    • The envelope appears only while you have at least one active code, and Invite by email on a code’s Share tab only while that code is Active — not once it’s exhausted, expired or archived.

  • What the business you refer does

When they open your link, CleanOps signup opens in their browser with your code already in the Referral code box. If they sign up in the CleanOps app instead, they tap Get Started for Free, choose Business Owner, and type your code into Referral code (optional) at the top of Create Account. They finish signing up as usual — with a password, or with Google, which keeps the code. On an iPhone, Sign up with Apple is offered as well.

Their free time is applied after their first paid month, never at signup.

If the code can’t be used, the app says why under the box once all 8 characters are in:

    • That referral code doesn’t exist. Check the code and try again.
    • That referral code is no longer active. — the code was archived.
    • That referral code has reached its limit. — the code is used up.
    • That referral code has expired.

A code shorter than 8 characters shows A referral code is 8 characters, so this one will not be applied. If the app can’t check a code at that moment, it shows Couldn’t check the referral code right now — you can still sign up. The app doesn’t stop them signing up with a code it has refused, so ask them to correct it first if the referral matters. Checking many codes in a short time shows Too many requests. Please try again later. — the check works again after about a minute.

Only a new business account can use a code — the Technician and Customer signups have no referral code box.

    Track who signed up

Tap the Referrals tab. Each row is a business that signed up with one of your codes, with the code they used, the date they signed up, and a status badge. Once you have a referral, the number on the tab is your total.

    To narrow the list:

    • Tap the filter icon at the top, tick one or more codes under Filter by code, then tap the ✓ at the top right. Each tick applies straight away; All codes clears them.
    • Tap Any date and choose Today, Last 7 days, Last month, Tomorrow, Next week, Next month or Custom range. The button then shows the dates you applied, with an icon to clear them.
    • Type a name into Search referred businesses…

A long list is split into pages: use the page numbers under the list, and Per page to show 5, 10, 25 or 50 rows at a time. The Codes list has the same controls. The lists reload each time you return to the screen; pull down on a list, or on an open code, to refresh it yourself.

If nothing matches your search or filters, you’ll see No matching referrals and Try a different search or filter. Before anyone has signed up, the list reads No referrals yet and Businesses that sign up with one of your codes appear here.

Screenshot — Track who signed up

The Referrals tab lists every business that signed up with one of your codes.

  • Referral statuses, and one code's activity

Every referral has one of three statuses:

    • Signed up — they’ve created their account but haven’t completed their first paid month.
    • Qualified — their first paid month has cleared, which is what earns your reward. See track referrals and claim rewards.
    • Not qualified — the referral doesn’t count, for example when a business refers itself.

To see one code on its own, tap its card. The Referrals tab there shows only the businesses that used that code, under a line such as 4 referrals · 21 uses remaining. The Status card on the Share tab shows its Uses, how many are Remaining, when it Expires, the date of the Last referral, and when it was Created.

Narrow that list with Search referred businesses…, Any date or Any status; the two buttons show what you’ve applied. A code nobody has used yet reads No referrals yet. Businesses that sign up with this code appear here.

Screenshot — Referral statuses, and one code's activity

One code's referrals, with its date and status filters.

  • Code statuses, filters, and empty lists

Each code card shows its status:

    • Active — the code can be used.
    • Exhausted — it has reached its redemption limit. Raise the limit to make it active again; a code already at the maximum can’t go higher, so create a new code instead.
    • Expired — its expiry date has passed.
    • Archived — you’ve retired it. The card also shows the date it was archived.

On the Codes tab, tap the filter icon, tick the statuses you want under Filter by status and tap the ✓ at the top right; a dot on the icon shows a filter is applied, and All statuses clears it. Use Search codes… to find a code by its label or the code itself.

If nothing matches, you’ll see No matching codes and Try a different search or filter. Before you’ve created a code, the list reads No referral codes yet and Create one and share it with other business owners.

    Edit a code

Open the code, tap the Settings tab, then tap Edit in Code details. Change the Label (optional), Redemption limit or Expiry date (optional) and tap Save Changes. A Referral code updated. message confirms it.

Once a business has signed up with a code, the code itself can no longer be changed — only its label, limit and expiry; trying shows can’t change once the code has referrals. Lowering the limit to the number already used stops further signups with it, and the code shows Exhausted until you raise the limit again. The limit can’t be left blank when you edit — you’ll see Enter a redemption limit.

  • 7

    Archive or unarchive a code

To retire a code, open it, tap the Settings tab and tap Archive code, then confirm in Archive this code? A Code archived. message confirms it. The code stops working for new signups straight away; the businesses it already brought in keep their status. An archived code can’t be edited or used for invites — Edit is replaced by This code is archived. Unarchive it first.

Changed your mind? Open the archived code and tap Unarchive code on the same tab. It takes effect straight away, with no question to confirm: a Code unarchived. message appears, and the code returns to the status its limit and expiry give it — Active again, unless it’s used up or past its expiry date.

Confirm before a code is archived.

  • 8

    Delete an unused code

A code nobody has signed up with can be deleted. Open it, tap the Settings tab, tap Delete code, and confirm in Delete this code? The code and its link stop working immediately, and this can’t be undone. You return to the list with a Referral code deleted. message.

Once a code has a referral, Delete code is greyed out and reads Unavailable — a code with referrals can only be archived. Archive it instead.

  • When the program is paused

CleanOps can pause the referral program. While it’s paused, a notice on the Referrals screen and on each code reads The referral program is paused. Codes won’t attribute new signups until it’s back on.

    • You can still create and edit codes.
    • The envelope and Invite by email are hidden.
    • A business that enters your code at signup sees Referral codes aren’t being accepted right now. They can still sign up, but they aren’t linked to your code.
    • The referrals you already have stay in your list.

  • Program terms

The full rules — who’s eligible, how rewards are calculated, when a referral qualifies, and what isn’t allowed — are in the Referral Program Terms. Tap Program terms at the end of either list, on any tab inside a code, or in the invite form. It opens in your browser.

  • What you have now

You have a referral code and a link you can share from your phone, invites on their way to the business owners you know, and a Referrals list that shows each business as it signs up and qualifies.

  • Tips and related guides

    • Create a separate code for each place you share — an event, a flyer, a social post — and label it, so the Referrals tab shows what’s working.
    • If a code travels further than you intended, lower its Redemption limit or archive it.
    • Once a code has brought in a referral, archive it rather than looking for delete; its history stays with it.
    • The app needs a connection — nothing is saved offline. If a list doesn’t load you’ll see a message such as Failed to load referrals. Pull to refresh or try again., and a code that can’t be opened shows We couldn’t load this referral code. Tap Retry on either.
    • Related: track referrals and claim rewards, and invite an employee (written for the web app).
