Invite an employee

Invite a team member by email, choose their role, and manage the invitation until they join.

Build your team by inviting people from the Employee Management page. You send an invitation to their email, choose what they can do by picking a role, and they finish by creating their own password — you never set it for them.

Before you start: sign in with an operator account that can manage your team. The roles you can assign depend on your plan (see Choosing a role below).

    Open Employee Management

    Select Employee Management in the left navigation. You’ll see your current team, a Role and Last activity filter, a search box, and a Pending Invitations section below the list. Select + New Employee in the top right to begin.

    Open the invitation form

    The Add New Employee form opens. It has a Personal Info section (name, email, phone) and a Role section. Selecting Cancel closes it without sending anything.

    Enter the new hire's details and pick a role

    Enter the First Name, Last Name, and Email — these identify the person and are where the invitation is sent. Optionally set a Phone Number (pick the country code: 🇺🇸 +1, 🇨🇦 +1, 🇬🇧 +44, or 🇦🇺 +61). Under Role, choose Admin, Manager, Technician, or Viewer.

  4. Choosing a role

    Each role sets what the person can do:

    • Admin — has full access to manage quotes, jobs, customers, team, and system settings.
    • Manager — full admin access to manage the business. Cannot be assigned to jobs.
    • Technician — performs assigned jobs with access to schedules, clock-in/out, and job details.
    • Viewer — can view all data but cannot create, edit, or perform any actions.

    The roles available depend on your plan: on Enterprise all four roles are available; on Basic and Pro only Manager can be assigned — the other roles aren’t offered in the invitation form. (When you later edit an employee, any roles your plan doesn’t include appear greyed out as (Enterprise only).)

  5. Granting account-owner access (optional)

    When you choose Admin or Manager, an extra Account Admin checkbox appears. Account Admin grants full owner-level access to your entire account — the same level you have. Leave it unchecked for a normal Admin or Manager.

    Because it’s so powerful, checking Account Admin asks you to confirm in a Grant Account Admin Access? dialog. Select Yes, Grant Full Access to confirm, or Cancel to back out.

    Send the invitation

    Select Save Employee. A green Employee invitation sent successfully message appears, and the person shows up in Pending Invitations with a Pending status, the date it was Sent, and when it Expires.

  8. What your new hire receives

    The person gets an email titled You’re Invited to Join the Team! with an Accept Invitation & Create Account button. The email also includes a mobile invite code they can enter in the CleanOps app instead, and it notes the invitation expires in 7 days.

  9. How your new hire accepts

    When they accept, they land on a Join [your company]’s team page with their email already filled in. They set their own Password, enter their First Name and Last Name, and select Join Team — then verify their email with a code. You never see or set their password.

    Resend a pending invitation

    If someone hasn’t accepted yet, find them in Pending Invitations and select Resend to send the email again. A green Invitation resent successfully message confirms it.

    Cancel a pending invitation

    To withdraw an invitation that hasn’t been accepted, select Delete on its row. A confirmation appears — confirm it and the invitation is removed from Pending Invitations.

    Change an employee's role

    After someone joins, select Edit on their row to open Edit Employee, choose a different Role, and select Save Employee. This is also where you adjust their Account Admin access.

    Remove an employee

    To remove someone from your team, select Delete on their row. A Delete Employee confirmation explains that this can’t be undone — select Delete Employee to confirm or Cancel to keep them.

  14. The new hire is on your team

    Once they accept, the person moves from Pending Invitations into your employee list with their role, and your team members count goes up. They can now sign in and use CleanOps according to the role you gave them.

  15. Tips & related

    • Pick the most limited role that still lets the person do their job — you can always raise it later from Edit Employee.
    • Reserve Account Admin for true co-owners; it grants full access to billing and everything else.
    • An invitation expires after 7 days — use Resend if it lapses before they accept.
