Review and approve form submissions

Review new-customer requests, correct contact details, make a decision, and find every submission afterward.

New Lead and Estimate Request forms create leads automatically. New Customer forms wait in Review Queue until an office user checks the contact details and approves, rejects, or deletes the request.

Before you start: your account needs the PRO plan and access to Settings → Public Forms. The actions available to you depend on your Public Forms permissions.

    Open Review Queue

    Open Settings → Public Forms, then select Review Queue. The tab badge shows the current pending count. New Customer requests wait here; approved and rejected responses remain in Submissions.

  • Who can review submissions

    Office users on a qualifying plan need Public Forms page and read access to open the queue and ledger. Edit, Approve, and Reject require update permission; permanent Delete submission requires delete permission. Read-only users can inspect requests and duplicate suggestions but do not see mutation controls. Missing page access redirects away, and a forced mutation is denied without changing the submission.

    Search and open a request

    Use Search by name or email… to narrow the queue, then select a request. Search tolerates small typos. The detail view shows the submitted fields, form, and timestamp; missing names appear as Anonymous, blank optional fields are omitted, and long values wrap within the screen. A search miss says No matching requests; a cleared, empty queue says Nothing to review. The queue shows a loader while fetching, supports pull-to-refresh, and shows Failed to load the review queue. Pull to refresh or try again. with Retry after a failed load. Return to the queue or refocus the screen to fetch current data.

  • Check possible duplicate customers

    A request with candidates shows 1 possible duplicate customer or N possible duplicate customers. Match reasons identify matching email, phone, or a possible name match. Select View to inspect an existing record; this does not merge records or decide the request. The panel is hidden when there are no candidates.

    Correct contact details

    Select Edit, update the prefilled Full name, Email, or Phone, then select Save. Full name is required. Email and Phone are optional, and clearing either removes it from the pending request. Cancel closes the sheet without saving. Save corrections before approval because those values create the customer.

  • Fix validation errors on save

    Validation runs only after Save. A blank name shows Full name is required and an invalid email shows Enter a valid email address; inline validation keeps the sheet open and writes nothing. Phone or server validation shows Error — Failed to update the contact. Please try again., closes the sheet, and refreshes the request. A successful save also closes the sheet, refreshes the detail, and leaves the request pending.

    Approve and create the customer

    After checking duplicates and contact details, select Approve. CleanOps creates and links the customer, removes the request from Review Queue, and shows Approved — The customer has been created. The retained ledger row reports Customer created.

    Reject a request

    Select Reject, then review Reject request?. Cancel leaves the request pending; Reject removes it from the queue but keeps the submission record with a Rejected result. Rejection has no undo action.

    Permanently delete a submission

    Open Submissions and choose the inline Delete submission action on the card you need to remove. In Permanently delete submission?, Cancel preserves it; Delete Submission removes it from the ledger and cannot be undone. A Customer or Lead already created from the submission remains.

    Find submissions in the ledger

    Open Submissions to see retained New Lead, Estimate Request, and New Customer responses with Lead created, Pending review, Customer created, or Rejected results. Use Search by name or email… for exact or typo-tolerant matching. The footer reports Showing 1–X of N, and more cards load as you reach the end.

  • Filter, loading, and empty states

    Open Filter submissions and combine Type, Result, Channel, Form, From, and To. Channel is where the response arrived from — Hosted link, Website embed, QR code, Combined link, Combined embed, or Combined QR — so it is how you compare the places you published a form. Apply uses the selections and Clear resets them; each filter also works alone. Pull to refresh for current data. A search or filter miss says No matching submissions; an account with none says No submissions yet. A failed load offers Retry. The list loads 20 rows at a time and appends the next page without replacing earlier cards.

    Export the filtered list

    Apply the needed search and filters, then select Export. The native share sheet receives the complete filtered result set, not only loaded cards, with Submitted, Form, Type, Name, Email, Channel, and Result columns. CleanOps neutralizes values that could be interpreted as spreadsheet formulas. Clear filters first to export the full ledger.

    Follow submission notifications

    Open the notification bell and select a New form submission entry. A New Customer request opens Review Queue. A New Lead or Estimate Request opens the lead CleanOps created automatically. The notification identifies the submitter, form, and request type.

  • Recover from failed or stale actions

    A failed detail load shows Error — Failed to load the request. and returns to the previous screen. Failed edits, approvals, and rejections show Failed to update the contact. Please try again., Failed to approve the request., or Failed to reject the request. and refetch the request; if another reviewer already decided it, the review controls disappear without creating a duplicate Customer or second outcome. A stale delete shows Submission unavailable — This submission has already been deleted. and refreshes the ledger. Permission-gated controls stay hidden, and forced API actions are denied without changing the row. An approval failure creates no Customer and leaves any still-pending request available for correction and retry.

  • What happens after review

    Approval creates and links a Customer and records Customer created. Rejection records Rejected without creating a Customer. Permanent deletion removes only the submission; an already-created Customer or Lead remains. New Lead and Estimate Request forms skip Review Queue and record Lead created.
