Build an automation campaign

Create a trigger-based email and/or in-app automation, review its content, and manage its lifecycle.

An automation campaign sends email, in-app, or both when customer activity matches a trigger, such as a completed job, an unpaid invoice, a quote that was not approved, a promotional-code event, or time since the customer’s last service. On mobile, use the same seven-step wizard to build the trigger, schedule, channel, audience, content, and review details before publishing.

Before you start: sign in with an employer/operator account that can manage marketing. For email automations, have a published marketing template ready. To limit an automation to a saved audience, create a segment first.

    Open Automation Campaigns

    From More, open Marketing, then select Automation Campaigns. The mobile list is titled Auto Campaigns and includes search, usage totals, filters, and the All, Active, Paused, Draft, and Archived status tabs.

    Start an automation

    Select the + button in the top-right of the Auto Campaigns list. On Campaign Type, choose Automation Campaign, then select Continue. Choosing One Time Campaign starts the single-send campaign flow instead.

    Choose the trigger family

    On Select Trigger, choose what starts the automation. Mobile exposes the same trigger families as web: Quote Not Approved, Job Completed, Invoice Unpaid, Promotional Code, and Time Since Last Service.

  4. Triggers with day-based timing

    Quote Not Approved, Invoice Unpaid, and Time Since Last Service ask for how many days after the source event CleanOps should evaluate the automation. The delay belongs to the trigger condition; it is separate from the delivery delay you can add on the schedule step.

  5. Promotional-code trigger options

    Promotional Code automations ask for a promo code and a sub-event: Activated, First Redeemed, or Approaching Expiry. Use this when the message depends on promo-code lifecycle activity instead of a job, invoice, quote, or last-service date.

    Select Job Completed

    For a post-service follow-up, select Job Completed and continue. This trigger starts from completed jobs and does not need an extra trigger timing field.

    Send immediately after the trigger

    On Setup Schedule, keep Send Right After Trigger selected when the message should run as soon as the trigger is eligible.

    Or schedule for later

    Choose Schedule for Later (after trigger) when the automation should wait after the trigger. Enter the wait amount and unit, such as 2 Days, then continue. This wait is relative to each trigger event, not the publish date.

  9. Channel branches

    On Select Channel, choose Email, In-app, or both. Email uses a marketing template and counts against the monthly email allowance. In-app sends a customer portal notification and only reaches customers with portal access.

    Choose the channels

    Select the channels you want, then continue. Use Email alone for email-only messaging, In-app alone for portal-only messaging, or select both for the widest reach.

    Use all eligible contacts

    On Select Audience, keep All eligible contacts when the trigger itself should decide who qualifies. The preview explains that automation recipients are calculated dynamically when each trigger fires.

    Or filter by segment

    Choose Filter by segment when a broad trigger should only reach contacts who are also in a saved segment. Continue only after the segment picker has a selected segment.

    Pick a saved segment

    Open Pick a segment, choose the segment, then return to the audience step. The selected segment narrows the trigger-qualified audience at send time.

    Set up email content

    On Setup Content, set up the message for each channel you selected. If email is selected, choose or keep the email template, then review the Subject, Header, Body Text, button settings, and preview before continuing.

  15. Set up in-app content

    When In-app is selected, the same content step includes the in-app notification title and body below the email fields. Edit both channels so the automation has matching customer-facing copy.

    Review campaign details

    On Review & Send, give the campaign a clear Campaign Name, then check the automation type, trigger, audience, selected channels, and schedule. Use the summary to confirm the mobile wizard saved each prior step before publishing.

    Publish the automation

    Select Publish Campaign. Publishing makes the automation Active for future matching trigger events; it does not send a one-time blast to the full audience.

  18. Active automation actions

    On an active automation, open the overflow menu. Mobile actions include Edit, Pause, Duplicate, Disable, and Archive. Use Pause when you may resume later; use Duplicate to make a copy you can adjust.

  19. Runs tab

    Open Runs to inspect individual automation runs after triggers fire. A newly published automation shows an empty runs table until a future trigger creates rows.

    Pause an automation

    Select Pause from the active actions menu, then confirm Pause. The confirmation explains that new trigger fires are skipped while paused, while any already queued legacy follow-up work can continue.

  21. Paused state

    After confirming, the detail page shows Paused but keeps the automation overview, channels, trigger, metrics, chart, and runs access. Pausing stops future trigger handling without deleting history.

  22. Paused actions

    A paused automation’s overflow menu changes to Edit, Resume, Duplicate, Disable, and Archive. Choose Resume when future trigger events should start creating runs again.

    Archive an automation

    Select Archive from the actions menu, then confirm Archive. Archived automations are hidden from active work lists, but historical runs remain available for review.

  24. Review archived automations

    Use the Archived tab on the list to find archived automations later. Mobile keeps the automation name, archived status, trigger, date created, recipients, open rate, and click rate on the row.

  25. Your automation is ready

    Your automation is active once published and waits for future matching trigger events. From mobile you can review results, inspect runs, pause or resume it, duplicate it, disable it, or archive it when it is no longer in use.
