Send a one-time campaign

Build and send a single email and/or in-app message to a chosen audience with the campaign wizard.

A one-time campaign sends a single message — an email, an in-app notification, or both — to an audience you choose. A six-step wizard walks you from picking who receives it through writing the content to sending or scheduling it.

Before you start: sign in with an account that can manage marketing (an operator/employer account), and have an audience ready — a saved segment is the easiest way to choose who receives the campaign.

    Open the One Time Campaigns page

    In the left navigation, open Marketing and select One Time Campaigns. The page lists your campaigns with their Audience, Date Created, Status, Open Rate, and Click Rate. The All, Draft, Scheduled, and Sent tabs filter by status, and the banner shows how much of your monthly email allowance you’ve used.

    Start a new campaign

    Select New Campaign in the top right. The wizard opens on Campaign Type — choose One Time Campaign to send a single message, then select Continue. Choosing Automation Campaign instead switches to the trigger-based builder (see build an automation campaign).

    Choose a saved segment

    On Select Audience, keep Use Saved Segment selected and pick a segment from the Segment dropdown. A summary card shows the Total contacts and the segment’s conditions. Use + Add segment to combine more than one, then select Continue.

    Or build a custom audience

    To target contacts without a saved segment, choose Build Custom Audience. Pick a Contact TypeAll contacts, Customers only, or Leads only — then select + Add condition and choose a field such as Location, Revenue, Last Service Date, Invoice Status, or Job Status. Add as many conditions as you need to narrow the list.

    Choose when to send

    On Schedule, select Send Now to send the moment you publish, then select Continue.

    Or schedule it for a later date

    To send later, choose Schedule for Later and set the Date, Time, and Timezone. The campaign sends automatically at that time and waits under the Scheduled tab until it does.

    Pick your channels

    On Select Channel, choose how the campaign reaches people: Email sends a branded email built from a template, and In-app delivers a message to the customer’s in-app inbox. Select one or both, then select Continue.

    Select an email template

    On Setup Content, the email fields stay locked until you pick a template. Select Select Template, filter by a category such as Promotional Code or Review Request, choose a template, and select Save Changes. A live preview of the email appears.

    Customize the email

    Enter a Subject (required), then edit the Header, Body Text, and Button Text — the toggle beside each one includes or hides that section. Click a chip under Available Variables (such as First Name or Company Name) to insert a personalization tag. The preview updates as you type.

    Write the in-app message

    If you chose the In-app channel, fill in the Title and Body of the notification. The Preview shows how it appears to the customer, and the message opens their marketing portal.

    Review your campaign

    On Review & Send, check the Campaign DetailsCampaign Type, Audience, Channel, and Schedule. Edit the Campaign Name here, or use the icon on any row to jump back and change that step. The status line confirms the send fits your monthly cap.

    Use the Email and In-app tabs in the preview panel to see exactly what each channel will look like to the customer before you send.

    Send the campaign

    Select Publish Campaign. With Send Now chosen, the campaign goes out immediately and opens to its results page. Email is delivered to every reachable recipient; In-app is skipped for customers who don’t have a portal account. The status reads Sent when every recipient is delivered, or Partial sent when some were skipped.

  14. Save as a draft instead

    Not ready to send? Select Save as Draft at the top of the wizard, confirm the name in the Add Campaign as Draft dialog, and select Save. The campaign is stored under the Draft tab to finish later. Leaving the wizard without sending also keeps it as a draft.

  15. Check who received it

    Open the campaign and switch to the Recipients tab to see each contact and their delivery StatusSent, or Skipped — no portal access for an in-app message to an unregistered customer. Search by email or filter by Date and Status.

  16. Find your campaign in the list

    Back on the One Time Campaigns list, the status tabs sort your work: Draft (unsent), Scheduled (waiting to send), and Sent (fully delivered). A campaign where some recipients were skipped shows Partial sent and stays under the All tab.

  17. Your campaign is on its way

    Your one-time campaign has been sent. Track its Open Rate and Click Rate from the list or the campaign’s Overview, review per-contact delivery on the Recipients tab, and reuse the same audience and content for your next send.

    • Send a test to yourself first by building a one-contact segment before a big send.
    • In-app only reaches customers with a portal account — pair it with Email to cover everyone.
    • Watch the monthly email usage banner, and add a email booster if you’re near the cap.
    • Build your audience first with a segment; for recurring, trigger-based sends, build an automation.
