Track and claim your referral rewards

See the rewards your referrals earn, claim each one as money or free time, and follow every entry in the reward ledger.

referrals rewards stripe payouts free time settings

Every business that signs up with one of your referral codes earns you a reward once it makes its first paid payment. In the CleanOps app, the Rewards tab is where you watch those rewards open up, claim each one as money paid to your Stripe account or as free time on your own subscription, and follow every entry in the reward ledger.

Before you start: sign in to the app as the account owner, or as a team member whose role includes managing referrals. Rewards are available on every plan. Creating and sharing codes is covered in set up and share your referral codes.

    Open the Rewards tab

Tap the menu icon at the top left, then Settings. Under SUBSCRIPTION, tap Referrals, then the Rewards tab. While you have rewards ready to claim, the number beside Rewards shows how many. At the top are the Annual money cap banner and — until your Stripe account is connected — a notice that Money rewards are paid to your Stripe account. Connect Stripe to receive them. Below them come Search rewards…, Any date, the count and Per page, your rewards, and further down the Reward ledger and Program terms.

  • Who can claim
    • The account owner, and team members whose role includes managing referrals (administrators and managers), can claim rewards.
    • View-only team members see the same tab, list and ledger, but tapping a reward that is ready to claim does nothing. For them the Stripe notice reads Money rewards are paid to your Stripe account. Ask the account owner to connect Stripe., with no link.
    • Technicians don’t have Referrals in their Settings.
    • Connecting Stripe needs the right to change Integrations — the account owner, an administrator or a manager — and multi-factor authentication turned on for that login. A team member who can claim but can’t change Integrations asks the owner to connect first.

Rewards belong to your business, not to the person who claims them.

  • Reward states and the claimable-on dates

Each row is one referred business. The badge on the right shows where its reward is, and the line underneath gives the dates:

    • Pending — earned, but not open yet. The line reads, for example, Money Jan 1 · Time Nov 2: the day each option opens; free time usually opens first. Tapping a pending row does nothing.
    • Claimable — at least one option is open. Tap the row to claim it (see the next steps).
    • Claimed · money / Claimed · time — the reward is yours; the line reads Claimed Oct 3 · $118.00 or Claimed Oct 3 · 60 days.
    • Payout failed — you claimed it, but the Stripe transfer or invoice credit didn’t go through. CleanOps retries for about three days, then our team takes over — nothing for you to do.
    • Reversed — the referred business refunded, disputed or cancelled before its money window opened, or CleanOps upheld a fraud flag on the referral, so the reward was taken back.
    • Expired — it wasn’t claimed in time (CleanOps warns you two weeks before), or your own subscription ended after the money window had opened (see Reversed, expired and forfeited rewards).
    • Forfeited — your own subscription was cancelled before the reward’s money window opened.
    • No money · cap — the reward was earned while your annual money cap was reached, so only free time is on offer until cap room frees up.

Once a reward is reversed, expired or forfeited the line reads Qualified and the date it qualified, and tapping the row shows it in the ledger. The newest reward is listed first. If CleanOps pauses the referral program, an amber notice reads The referral program is paused. Codes won’t attribute new signups until it’s back on. — your existing rewards and claims aren’t affected.

    Filter and search rewards

Tap the filter icon beside the Referrals title to open Filter by state. Tick the states you want — Pending, Claimable, Claimed, Reversed, Expired or Forfeited — and the list follows each tick; All states clears them, and the check mark at the top right closes the list. A blue dot on the filter icon shows a state filter is on.

Any date narrows the list to rewards that qualified in a range: pick Today, Last 7 days, Last month, Tomorrow, Next week or Next month, or Custom range to choose two days. The button then shows the dates, for example Oct 3, 2026 – Oct 3, 2026; tap its ✕ to clear it. Type part of a business name into Search rewards…; similar names match too.

The line above the list reads, for example, Showing 1-10 of 31. Use Per page to show 5, 10, 25 or 50 rewards, and the page numbers under the list to move between pages. If nothing matches you’ll see No matching rewards — Try a different search or filter. Before your first reward the tab reads No rewards yet — A referral earns one once the business it brought in makes its first paid payment.

Read the ledger for one reward

Scroll below the list to the Reward ledger. Under the entry count it explains Append-only. A clawback is a new opposing entry, never an edit — the ledger reconciles to your balance. Each line shows the entry and the business, its date, the amount (+$118.00, -$118.00, or — when no money moves) and Balance, your account-wide balance after that entry — so a narrowed view can jump between lines.

To follow a closed reward, tap its row: the ledger narrows to that reward’s entries — such as Accrual, Referee free time granted, Claim · money and Payout sent — and scrolls into view. View in ledger inside a claim does the same for an open reward. Tap Show all entries to widen it again. Other entries you’ll meet are Claim · time, Free time granted / Free time reversed, Referee free time reversed, Payout failed, Transfer checked, Free time not added · reason, Cap room released, Expiry, Forfeiture, and Reversal with its reason — refund, dispute, referee cancelled, fraud or store refund. The ledger shows 25 entries at a time; tap Show more entries for the next 25. Before any reward it reads No ledger entries yet. Each accrual, claim, reversal and expiry is recorded here.

    Set up Stripe payouts

Money rewards are paid into your business’s Stripe account, so connect it before you claim money. Tap Connect Stripe in the notice on the Rewards tab, or Set up payouts inside a claim. The app opens Settings → Integrations and starts the Stripe connection; the Stripe card there notes Note: Multi-factor authentication must be enabled to connect Stripe. If MFA isn’t on for your login yet, the app says so and offers Go to Settings to turn it on first. Stripe then walks you through its own onboarding in a browser window; when you finish, the app confirms the connection and takes you back to the Rewards tab. If Stripe sends you back before it has everything it needs, an Error alert reads Stripe onboarding incomplete. Please complete the setup. and you stay on Integrations, where the Stripe card offers Complete Setup to carry on. The Stripe notice disappears once Stripe confirms your account can receive transfers. Stripe’s onboarding pages and the return alerts aren’t pictured here.

    Claim a reward as money

Tap a Claimable row. In Claim your reward, the Money card is selected and shows the amount and how it was worked out — 2 × the referee’s $59.00/mo tier. With Stripe connected it reads Sent to your connected Stripe account — arrives in 2–3 business days. and Stripe payouts connected · transfers enabled, and the footer shows how long you have — Claimable until DATE., 90 days after the later of the two options opened. Tap Claim $118.00 (the button names your amount). A Reward claimed. message confirms it, the row changes to Claimed · money, the number on the Rewards tab drops by one, and the ledger records Claim · money followed by Payout sent once Stripe accepts the transfer.

  • If Stripe isn't connected yet

You can still open a claimable reward. With Money selected the window explains You’ll be taken to Stripe to set up payouts — this reward stays claimable meanwhile. and Stripe payouts not set up · transfers disabled, and the button reads Set up payouts — tapping it starts the Stripe connection and claims nothing. The footer offers Or claim free time instead., so you can take the time option without waiting. If your role can claim but can’t change Integrations, ask the account owner to connect Stripe first. If a payout later fails, the row shows Payout failed and you receive a Payout failed notification; CleanOps retries for about three days before our team steps in.

Without Stripe, Money offers Set up payouts and the reward stays claimable.

Claim a reward as free time

Tap a Claimable row, then the Free time card. For a subscription billed through Stripe it reads Added to your next invoice: the days are converted at your plan’s rate and credited against your next CleanOps invoice. Tap Claim 60 days (the button names the days). A Reward claimed. message confirms it; the row changes to Claimed · time with Claimed Oct 3 · 60 days, and the ledger records Claim · time and Free time granted. Free time doesn’t need Stripe connected.

Screenshot — Claim a reward as free time

Free time selected: the days are credited to your next invoice.

  • Free time on App Store and Google Play plans

If you pay for CleanOps through the App Store or Google Play, free time is added by extending your subscription’s renewal date with the store rather than as an invoice credit. The Free time card then reads Extends your App Store renewal date or Extends your Google Play renewal date, and below it Apple adds the days to your renewal date and emails you to confirm. or Google Play adds the days to your renewal date. Google Play moves the date when the reward is claimed; on an App Store plan Apple applies the extension on its side, and your renewal date updates once Apple reports it.

    • Apple allows two free-time grants in any twelve months, and CleanOps counts them. The window shows Apple allows 2 free-time grants a year · N left and the reset date; once they’re used, the row reads Free time can’t be added now — Apple’s yearly limit and its Time date becomes the reset date. For any other store problem the row’s time date shows -.
    • Free time needs an active paid store subscription. On a free trial, or while the plan isn’t active, the card reads Needs an active paid App Store subscription (or … Google Play …) and the row notes Free time can’t be added now — plan not eligible.
    • A single Apple extension can’t exceed 90 days (Over Apple’s 90-day limit).

These store screens aren’t pictured here; the wording is the app’s own.

  • When free time can't be added

If the store refuses the days after you claimed them, CleanOps reopens the reward for money. You receive a Claim this reward as money notification — Claim your $X instead. We couldn’t add 60 days to your App Store plan for your reward for BUSINESS. — the row returns to Claimable with money as the only option, and its expiry is pushed out to at least 90 days. A red note under the row — Free time couldn’t be added — … — names the store’s reason: Apple’s yearly limit, over 90 days, free trial, plan not active, plan expired, no store plan, the days never reached your plan, or store declined it. If other free time on the reward can still be claimed now, the notification is Reward ready to claim; if money isn’t open yet or is held by the cap, it is Free time couldn’t be added and the reward waits; a row whose money is held by the cap reads Money held by cap and can’t be claimed until cap room frees up. While a store grant is still outstanding, the row shows Free time pending — not added yet under Claimed · time. The ledger records Free time not added · reason. These store states aren’t pictured here.

  • Other things the claim window can say

The two cards and the confirm button change with the reward’s state:

    • A card whose option hasn’t opened yet names the day — Claimable DATE (or Not claimable yet when no date is known); an open card shows its own note, such as 2 × the referee’s $59.00/mo tier, Added to your next invoice or Extends your App Store renewal date; once the reward is closed it reads No longer claimable. The confirm button is greyed out as Not claimable yet or No longer claimable until an option is open — on a store plan it can also repeat the Free time card’s refusal note — and shows a spinner while a claim is being processed.
    • While money hasn’t opened yet and Stripe isn’t connected, a line under the two cards reads Money is paid to your Stripe account., followed by a Connect Stripe link if your role can change Integrations, or Ask the account owner to connect Stripe. if it can’t.
    • On a store plan, a refused Free time card reads Couldn’t be added — claim as money, Couldn’t be added — claim as money once it opens or Couldn’t be added by the store; at Apple’s yearly limit it reads Apple’s yearly limit reached — resets DATE.
    • View in ledger closes the window and narrows the ledger to this reward; Cancel, the ✕ or your phone’s back gesture close it without claiming.

If a claim can’t go through, the window shows why in red: This reward has expired., That reward can’t be claimed right now., Set up Stripe payouts to claim money., This reward is past the annual cash cap set when its referral signed up., Apple’s yearly limit on free time is reached., Free time can’t be added to this app store plan. or Rewards can’t be claimed while your subscription is inactive. If the app can’t reach CleanOps, the window shows Failed to load the reward. with Retry, or Failed to claim the reward. Try again. after a claim.

See the result on your plan

As the account owner, open Settings → Plan & Billing. Next renewal shows when your subscription renews. On a Google Play plan the store moves that date when you claim free time; on an App Store plan it updates once Apple applies the extension. A subscription billed through Stripe gets the days as a credit on its next invoice, so the date doesn’t move. The app’s Plan & Billing has no billing history: the Referral Credit line for each free-time reward is under Billing History on Plan & Billing in the web app. In the app, the reward ledger’s Free time granted entry is your record. Money rewards appear in neither — follow them in the reward ledger and in your Stripe account.

  • The annual money cap

Money rewards count against an annual cap, shown in the banner at the top of the tab — for example Annual money cap: $1,062.00 of $1,900.00 used for 2026 — with the note Past the cap referrals still accrue free time. Money resumes Jan 1, 2027. Each referral keeps the cap in force when it signed up. Money that is outstanding, claimed as money, or waiting on a store grant counts toward it; claiming free time instead releases that room. A reward earned while the cap is reached shows No money · cap and offers free time only, and the Money card reads Past the $CAP annual cap set when this referral signed up. New rewards earn money again from January 1; if room frees up earlier — a reversal, or a reward claimed as time — you receive a Reward money unlocked notification and the ledger records Cap room released. The cap-reached state isn’t pictured here.

  • Reversed, expired and forfeited rewards
    • Reversed: if the referred business refunds, disputes or cancels before the reward’s money window opens, the reward is reversed and the ledger shows Reversal with the reason, for example Reversal · referee cancelled. A dispute you win restores it.
    • Expired: an unclaimed reward expires 90 days after its later window opens — the claim window’s Claimable until date. Two weeks before, you receive a Reward expiring soon notification (Your $118.00 reward expires DATE if it stays unclaimed.); afterwards, Reward expired.
    • If your own subscription ends: claims close at once — an open Rewards tab reads Rewards can’t be claimed while your subscription is inactive. — and a reward whose money window hasn’t opened yet is then Forfeited. One whose money window had already opened is paid out as money automatically when Stripe is connected and money is on offer; otherwise it expires. A forfeited or expired reward sends a Reward ended notification. Forfeited rows aren’t pictured here.
  • Reward notifications

The bell at the top of the app keeps you posted. Tap it to see Unread and All; tapping a referral notification marks it read and opens the Rewards tab:

    • Reward ready to claim — sent when the first option opens, and again if a store refuses free time you claimed. It starts Your $118.00 reward for BUSINESS is ready. — or Your 60-day free-time reward for BUSINESS is ready. when the cap holds its money — and ends with the choice at that moment: usually Claim 60 days free now, or $118.00 as money from DATE.; Claim as money or as 60 days free. if both are already open; Claimable as 60 days free from DATE, or $118.00 as money from DATE. if money opens first; Claim it as 60 days free. for a reward held by the cap; and Claim it as $118.00. (or … from DATE.) on a store plan whose free time is closed.
    • Reward expiring soon — Your $118.00 reward expires DATE if it stays unclaimed.; then Reward expired — Your $118.00 reward for BUSINESS expired unclaimed.
    • Payout failed — The credit for your 60-day free-time reward failed. We retry for about 3 days, then our team takes over.
    • Claim this reward as money, Free time couldn’t be added, Reward money unlocked and Reward ended, described above.

Once a reward can no longer be claimed — you claimed it, or it expired or was reversed — its alerts are marked read, so they leave Unread. The same alerts are emailed to you, for example Your referral reward is ready to claim, Your referral reward expires soon and A referral reward expired.

    Screenshot — Reward notifications

  • Program terms

The full rules — eligibility, how the reward is worked out, the two claim windows, free time on store plans, fraud and clawback, and what happens when an account cancels — are in the Referral Program Terms. Tap Program terms at the end of the Rewards tab or inside the claim window; the terms open in your phone’s browser. Section 4, Free time on App Store and Google Play plans, covers the store limits described above.

  • What you have now

Your referral rewards are in one place on your phone: you can see which are pending, which are ready and which are done, claim each one as money in your Stripe account or as free time on your subscription, and audit every movement in the reward ledger.

  • Tips and related guides

    • Connect Stripe before your first reward opens, so you can claim money the day it’s ready.
    • If money isn’t open yet but time is, you don’t have to wait — the two options open on their own dates.
    • Act on the Reward expiring soon notice; an expired reward can’t be recovered.
    • Tap a closed reward before contacting support — the ledger usually answers the question.
    • The list and ledger reload each time you come back to the tab; pull down on the list to refresh them by hand. The app needs a connection — nothing is saved offline. If the list doesn’t load you’ll see Failed to load rewards. Pull to refresh or try again., and if the ledger doesn’t, Failed to load the reward ledger. — Retry on either loads them again.
