Manage a job

Open a job, edit its details and services, move it through its statuses, track time, and manage its notes, photos, reminders, and expenses.

A job is the scheduled work itself. This guide covers everything you do with one after it exists: reading the job page, editing its details and services, moving it through its statuses, tracking time against it, and keeping its notes, photos, reminders, and expenses in order.

Before you start: sign in with an account that can manage jobs (an operator/employer account), and have a job to work with — create one from the Job Schedule (schedule a job) or by converting an approved quote (send and convert a quote).

    Open the job

    Select Job History in the left navigation to see every job, newest first. Narrow the list with the Date, Status, Customer, Surface type, and Technician filters, the Unassigned checkbox, or the Search jobs box, then select a job’s row to open it. Today’s and upcoming jobs are also one click away on Job Schedule.

  2. Get oriented on the job page

    The header shows the job’s number, its status badge, and a link to the customer. Job Summary on the left collects the customer, the linked Quote and Invoice, the scheduled date, time, and duration, the Job Address, the Assigned Technician, recent Notes, and the job’s Recurrence. Service Details lists each surface with its quantity and complexity beside a map of the job address, and four tabs — Job Report, Follow-ups & Reminders, Expenses, and Activity Log — hold the working records.

  3. Open the Actions menu

    Select Actions in the top right. Everything you can do to the job lives here: Edit Job, Notify: On The Way, Change Status, Archive Job, and Delete Job. Next to the menu sit the quick buttons — Clock-in, Complete, and Create Invoice.

    Edit the job's details

    Select ActionsEdit Job. In the Edit Job form you can switch the Customer, link a Quote (the picker is disabled when the customer has none), set the Start Date & Time, and enter a Duration — type 2 for two hours or 1h30m for ninety minutes. + Add Date schedules the same job on several dates (a job with multiple dates can’t also repeat). Under Location, keep a saved customer address with Existing Address, or pick New Address and fill in the required Street Address, City, State / Province / Region, and Postal / ZIP Code.

    Edit services, technicians, and notes

    Further down the form, Service Details uses the same surface rows as quotes: Surface, Description, Unit (Sq. Ft., Linear Ft., Hourly, or Fixed Price), a required Quantity — with a Draw area on map button on square-footage rows (see draw a service area) — and Complexity (LOW, MEDIUM, or HIGH). Remove drops a row and + Add Surface adds one; there’s no price on a job’s services — pricing lives on the quote and the invoice. Under Technician, pick Assigned To, set the Hourly rate, and tick Add to Expenses to count their paid time against the job; + Add Technician assigns more than one person. Notes and an Expenses section (never visible to the customer) round out the form.

    Save your changes

    Select Save & Schedule. A green Job updated successfully message appears and Job Summary reflects what you changed — here the duration now reads 2h.

    Make the job repeat (optional)

    In the same Edit Job form, switch on Enable repeat under Recurrence. Choose Daily, Weekly, Monthly, or Custom; untick days under Repeat On to limit a daily rule to chosen weekdays; then set the End ConditionNever ends, Ends after a number of occurrences, or Ends on a date — and optionally Skip public holidays. Saving generates the future occurrences (they appear in Job History and on the schedule) and the sidebar’s Recurrence card summarizes the rule, for example Repeats every 1 day(s), ends after 5 occurrences.     Change the job's status

    Select ActionsChange Status. The Change Job Status dialog shows the Current Status: badge and asks you to Select New Status:Scheduled, In Progress, Completed, or Cancelled. Selecting one applies immediately; there’s no extra confirmation.

    Start the work

    Select In Progress. The badge updates with a green Job status updated successfully message and the Activity Log records that the job started. (Clocking in on a Scheduled job — next step — starts it for you automatically.)

    Clock in

    Select Clock-in, then Now — or Custom to pick the exact moment. Clocking in starts the clock for you, the signed-in user; technicians get the same buttons on their own job view (see complete jobs and track time).

    Track the time and clock out

    While you’re clocked in, a green Tracked timer counts up in the header and the Time Log in the Job Report tab gains a row. Select Clock-outNow (or Custom) to stop it. Each row keeps its Clock-in, Clock-out, and Duration, and can be corrected later with Edit or removed with Delete.

    Complete the job

    Select Complete. The badge turns green Completed, a Job completed message confirms it, and the header swaps Complete for Re-open.

  13. If someone is still clocked in

    Completing a job with open time logs asks first. Employees Still Clocked In lists who is still on the clock and explains that completing will automatically clock everyone out and add their time to the job. Complete Job & Clock Out All does exactly that; Cancel lets you clock out manually first.

    Re-open a completed job

    Finished too soon? Select Re-open. A Job re-opened message appears and the job returns to In Progress so you can keep working and complete it again later.

    Cancel a job

    Select ActionsChange StatusCancelled. The badge turns red Cancelled immediately. On a repeating job this cancels only the occurrence you’re viewing — the rest of the series stays scheduled; cancel or delete a whole series from Job Schedule (see schedule a job). If the job is back on, change the status to Scheduled the same way.

  16. Watch for Overdue

    A Scheduled job that’s more than an hour past its start time wears an Overdue badge instead — hover over the badge to see when it was due and how many days late it is. It’s a display flag, not a separate status — reschedule the job (edit its Start Date & Time) or work it as usual.

    Work the Job Report tab

    Job Report is the field record. Time Log totals everyone’s tracked time. Under Job Notes, type into Add a note… and select Add Note — each note keeps its author and time, can be edited or deleted, and the latest also show in the sidebar. Photos holds Before and After shots: select Click to upload or drag and drop an SVG, PNG, or JPG. Customer Feedback shows what the customer left after the job. Photo management requires a PRO or Enterprise subscription.

  18. Review follow-ups & reminders

    The Follow-ups & Reminders tab automates the job’s communication. For the Customer: an Upcoming Job Reminder, Same-Day Job Reminder, Review Request, and Repeat Service Reminder. For the Technician: an Upcoming Job Reminder and Same-Day Job Reminder. Each shows Not Configured until you set it up — expand one and select Schedule Reminder. Reminder and follow-up automations require a PRO or Enterprise subscription.

    Configure a reminder

    In the reminder dialog, switch on Enable Automation and set the Timing (Send a number of hours or days before job). Build the message per channel — the Email, SMS, and In-App tabs each have their own enable toggle and template. Click the Available Variables pills (such as Customer Name, Job Date, and Technician Name) to insert live values, use Preview with Sample Data to check the result, then select Save.

  20. Check the job's expenses

    The Expenses tab lists every expense charged to this job with its Category, Date, Amount, and Media, plus a running Total. Add them from the Edit Job form’s Expenses section — quick Expense Type and Amount entries or Add Detailed Expense — or from the Expenses page (see log an expense). Job expenses are never visible to the customer.

  21. Audit the Activity Log

    The Activity Log tab is the job’s audit trail: scheduling, every status change, and each clock-in and clock-out land here automatically, with who did it and when.

    Tell the customer you're on the way

    Select ActionsNotify: On The Way. The dialog notifies the customer using the channels enabled for the tech_on_the_way template in Settings → Notifications; add an optional ETA (like 15 min) or leave it blank for the default message. Send notification sends it for real — straight to your customer — so save it for the day of the job.

    Archive a job

    Select ActionsArchive Job to shelve a job you’re done with. A green Job archived successfully message appears, the badge changes to Archived, and the menu now offers Unarchive Job instead. Archived jobs keep their full history.

  24. Archived jobs are read-only for status

    While archived, Change Job Status shows the Archived badge with its Underlying status: and the note Unarchive this job to change its status. Select ActionsUnarchive Job to bring the job back exactly as it was.

    Delete a job permanently

    Select ActionsDelete Job. A red PERMANENT DELETION WARNING spells out exactly what goes with the job — time logs and other job data are deleted, while the customer record is preserved — and asks you to confirm with Confirm Delete Job. This cannot be undone; archive instead if you might need the history.

  26. Result

    You can take a job the whole way: open it from Job History, adjust its details, services, and technicians, move it through Scheduled, In Progress, and Completed with time tracked against it, and keep its notes, photos, reminders, expenses, and audit trail in one place.
