Create a lead

Add a prospective customer with contact details, an address, source, assignee, tags, and notes.

Leads are prospective customers you want your office team to follow up with. Create a lead with only a name, or add contact details, an address, a source, an assignee, tags, and notes so the right person can start working it immediately.

Before you start: sign in as an employer or office user with permission to create leads. Technicians can work leads assigned to them, but they cannot create leads.

  1. Before you create a lead

    The New Lead action appears for office users who can create leads. A read-only user can view the Leads page without that action. Technicians use their assigned-leads workspace instead and cannot create leads. Only Lead Name is required; every other field is optional.

    Open the new lead form

    Select Leads in the left navigation, then select New Lead. The Add New Lead form opens over the Leads list.

    Enter personal information

    Enter the required Lead Name. You can also add an Email and a US Phone Number; the phone field shows the 🇺🇸 +1 prefix.

  4. If the lead name is missing

    If you select Save Lead without a Lead Name, the browser shows Please fill out this field and keeps the form open. No lead is created until you enter a name.

    Add an address

    Start typing the Street Address, then select the matching suggestion. CleanOps fills the City, State / Province / Region, Postal / ZIP Code, and Country, and saves map coordinates for the selected address.

  6. Address and country options

    The address is optional. Country defaults to United States and also offers Canada, United Kingdom, and Australia. You can save a non-US country without entering an address; for example, selecting Canada stores that country while the other optional fields remain empty.

    Choose a source and assignee

    Under Additional Info, choose where the lead came from in Source, then use Assigned To to select an employee. Leave Select source or Unassigned selected when those details are not known yet.

  8. What assignment does

    Saving an assigned lead records both lead_created and lead_assigned activity. The assigned technician receives a Lead Assigned in-app notification and can open the lead in their assigned-leads workspace. An unassigned lead records only the creation activity.

    Add tags

    Type in Tags to see matching account tags, then select a suggestion or press Enter to create a new tag. Select the × on a tag chip to remove it before saving.

  10. How tags behave

    Blank and duplicate tags are ignored. A tag you type but do not commit with Enter is still added when you save, and all selected tags remain on the lead.

    Add notes and save

    Enter optional lead-level Notes and watch the counter as you type; notes can contain up to 150 characters. Select Save Lead. The form closes and the new lead appears at the top of the Leads list.

  12. The lead is ready to work

    The lead is saved with the contact details, address, source, assignee, tags, and notes you entered. Address suggestions retain their map coordinates, creation activity identifies the actor and time, and assignment adds its own activity and notification.

  13. Tips & next steps

    • Use a clear lead name so your team can recognize the prospect quickly.
    • Lead-level Notes are part of the lead’s basic information; timeline notes are added later from the lead detail page.
    • Lead sources are managed separately for the account.
    • After creation, use the Leads list to search or filter leads, update the lead’s status and next action, schedule an event, add timeline notes, or convert the lead to a customer.
